Planning a booking platform beyond the calendar

Define what can be booked
Identify the resource: a vehicle, room, appointment or service slot. Document capacity, operating hours, preparation time and blocked dates. Decide whether a request reserves capacity immediately or waits for approval. These decisions affect the data model and the messages users see.
Keep pricing understandable
Separate the base price, optional services, discounts and taxes. Show the relevant total before confirmation and record the agreed amount with the booking. Define cancellation and refund rules before connecting a payment gateway. A quote, a confirmed reservation and a paid transaction are different records with different responsibilities.
Design the operational workflow
Staff need more than a list of dates. Plan views for pending, confirmed, active, completed and cancelled bookings. Define who can move a request between states and what information is required at each step. Delivery locations, internal notes and assigned staff should follow permissions rather than appear to every user.
Test the difficult cases
- Two people request the same remaining resource.
- A payment succeeds after the browser is closed.
- A confirmed booking is rescheduled.
- A notification fails while the booking itself succeeds.
Agree on the source of truth for availability and transaction status. Test the whole journey with realistic records before launch, including the staff screens and cancellation flow.
